We are seeking a highly organized and proactive
Virtual Assistant to provide administrative and purchasing support
to our team.
The ideal candidate will assist with managing daily operational tasks and coordinating purchasing activities for a Managed Service Provider
This role does not require prior IT experience but does require strong organizational skills, excellent communication, and a willingness to learn about IT-related products and processes.
The successful candidate must have at least **B2-level English proficiency** (or higher), ensuring clear communication with team members, vendors, and clients.
Key Responsibilities
Administrative Support
- Manage schedules, calendars, and meetings for team members.
- Handle email communications, including responding to inquiries and following up on tasks.
- Prepare and maintain documentation, including client records, contracts, and SOPs.
- Assist in creating reports, spreadsheets, and presentations.
- Monitor and manage task management software (e.g., Asana, Trello, or ClickUp).
- Perform general clerical tasks, such as data entry and file organization.
Purchasing & Procurement Support
- Research and source products and services from approved vendors.
- Obtain quotes and compare pricing to ensure cost-effective purchasing decisions.
- Place and track orders, ensuring timely delivery to meet deadlines.
- Maintain accurate records of purchases, invoices, and receipts.
- Communicate with vendors to resolve issues such as delivery discrepancies or returns.
- Assist in maintaining an up-to-date inventory of equipment and supplies.
Qualifications
- Proven experience as a Virtual Assistant, Administrative Assistant, or in a similar role.
- B2-level English proficiency or higher
with excellent written and verbal communication skills.
- Outstanding organizational and time management skills.
- Proficiency in tools such as Microsoft Office, Google Workspace, and task management software.
- Experience with purchasing platforms or systems is a plus.
- Ability to multitask, prioritize, and handle confidential information with discretion.
- A willingness to learn about IT-related products and services.
- Experience in procurement or vendor coordination.
- Familiarity with inventory management is a plus.
- Previous experience in a service-based business environment is preferred
