Responsibilities
- Respond swiftly to incoming leads from innovative Facebook and Google advertising campaigns, ensuring no opportunity is missed
- Engage potential patients through multiple channels including phone, text, and email, providing personalized communication to address their dental care needs
- Convert warm leads into scheduled appointments for free exams, X-rays, and consultations, maximizing the practice’s patient acquisition efforts
- Manage and nurture a substantial database of existing leads, implementing strategic follow-up processes to re-engage potential patients
- Utilize the advanced Go High Level CRM system to efficiently track, manage, and analyze lead data, contributing to the practice’s data-driven approach
- Conduct all patient interactions with the highest level of professionalism and empathy, seamlessly switching between English and Spanish as needed
- Uphold strict HIPAA compliance standards in all patient communications and data handling, ensuring the utmost privacy and security
Requirements
- Fluency in both English and Spanish, with excellent written and verbal communication skills in both languages
- Minimum of 3 years of experience in medical or dental administrative roles, demonstrating a strong understanding of healthcare operations
- Proven proficiency in CRM systems, with specific experience in Go High Level CRM preferred
- Outstanding customer service skills with a patient-centric approach and the ability to build rapport quickly
- Demonstrated ability to work independently, manage time effectively, and thrive in a fast-paced, results-driven environment
- HIPAA compliance certification or willingness to obtain certification promptly
- Exceptional multitasking abilities to handle approximately 80 new leads per week while managing ongoing follow-ups
- Comfortable with a flexible work schedule that may include some evening hours to accommodate patient needs
- Strong technical aptitude with the ability to quickly adapt to new software and remote work tools
- Passion for contributing to improved dental health outcomes and practice growth
