Your Role
As a Site Admin and Facilities Specialist , you will oversee the day‑to‑day operations and physical upkeep of the site, serve as the primary point of contact for administrative, vendor, and facilities matters, and provide direct administrative support to senior leadership.
Essential Job Functions
- Executive & Stakeholder Support (Administration)
- Manage C‑level agendas and schedules.
- Organize and facilitate meetings with vendors, service providers, and government organizations.
- Prepare meeting materials, take minutes, and track action items, and provide regular reports and updates to C‑level executives.
- Facilities Management & Maintenance (Facilities)
- Coordinate all site‑related activities, including facilities upkeep, maintenance, and daily operations.
- Oversee preventive and corrective maintenance schedules for site infrastructure, systems, and equipment.
- Conduct regular site inspections to identify and resolve maintenance issues promptly.
- Manage the physical workspace and coordinate necessary office reconfigurations or minor construction projects.
- Ensure health, safety, and security protocols are followed.
- Vendor Management & Procurement
- Manage relationships with vendors and service providers related to administrative and facilities services.
- Oversee contracts, performance, and compliance with service‑level agreements (SLAs) for all vendors.
- Lead vendor and procurement negotiations to ensure cost‑effectiveness and quality.
- Handle procurement of all goods and services, ensuring compliance with company policies.
- Site Administrative, Operations & Client Relations
- Organize logistics for visitors, events, and special site requirements.
- Welcome and receive visitors, clients, and partners with professionalism.
- Act as a liaison for client relations, supporting meetings and site visits.
- Maintain a positive and professional site experience for all stakeholders.
- Provide regular reports related to work output.
What You Need
- Education: Bachelor’s degree in Business Administration, Management, Engineering, or a related field (preferred).
- Experience: Proven experience in vendor management, procurement, budget control, and facilities management/operations.
- Technical Proficiency: Knowledge of building systems and maintenance best practices is highly desirable.
- Language: Minimum B2 level English proficiency (oral and written).
- Communication: Excellent communication, interpersonal abilities, and strong negotiation skills with vendors and suppliers are essential.
- Software: Proficiency in Google Workspace (Docs, Sheets, Slides, Drive, Calendar, etc.).
- Work Style: Ability to multitask, prioritize, and work effectively under pressure.
