$111,000.00/yr - $122,500.00/yr
Position: Senior Project Manager – Operations
Location: Remote, with 15% of expected travel for in‑person team meetings and events.

Position Details
This is a full‑time, exempt, at‑will position that will work across FN and affiliated initiatives.
The team currently operates remotely, with occasional in‑person team retreats.
Some travel will be required.
Additional evening and weekend hours are occasionally required to fulfill the duties of this position.
The Opportunity
The Sr. Project Manager, Operations plays a key role in supporting organizational efficiency, leadership effectiveness, and operational excellence across the organization.
This role provides high‑level administrative and project management support to senior leadership.
The Sr. Project Manager, Operations is also responsible for coordinating recruiting and onboarding processes, supporting organizational systems and technology platforms, and ensuring smooth cross‑departmental communication.
This position requires exceptional organizational skills, critical thinking, and the ability to manage multiple priorities in a fast‑paced environment while upholding the organization’s mission and values.
What You Will Do
Responsibilities
- Manage information flow to the COO in a timely and accurate manner
- Plan and coordinate calendars for the COO, ensuring alignment with internal and external stakeholders
- Book travel arrangements for senior leaders as needed
- Provide logistical support for internal and external events
- Prepare and deliver meeting briefings for the COO
- Record accurate meeting notes and minutes as required
- Draft and manage correspondence on behalf of senior leaders
- Maintain task lists and workflows for the COO
- Assist in planning senior team and cabinet meetings, retreats, and other organizational gatherings
- Partner with the COO to streamline operations and strengthen cross‑functional communication
- Support onboarding for new hires by coordinating orientation activities and ensuring employees have the necessary tools and resources
- Collaborate with recruiting staff to support candidate coordination, interview scheduling and management, and applicant tracking
- Track and manage monthly expense reports for the COO and other senior leaders
- Assist in budget tracking and expense management
- Recommend and implement improvements for internal processes to enhance efficiency and reduce administrative burdens
- Participate in overall organizational, departmental, and programmatic strategic planning processes
- Recommend and support organizational improvements related to values, leadership, management, communication, culture, norms, systems, and processes
- Serve on various internal committees as requested
- Represent the organization at various external and internal events, as requested
- Support administration of organization‑wide systems, including contracts management, document filing, and technology tools
- Monitor usage and costs of digital platforms (e.g., software licenses, CRM, project management tools) and make recommendations for optimization
- Execute user surveys to evaluate needs and satisfaction with current systems
- Coordinate with IT and operations teams to improve systems functionality and access
- Assist in administration of organization‑wide technology platforms and software
- Support cybersecurity goals through regular review of user roles within the software managed by the Operations Team
- Conduct training and provide individual support on organizational systems
- Manage and optimize team use of tools including Slack, Asana, Google Drive, and Airtable to organize and track content projects from start to finish
- Provide tech support at Ops‑led events
- Lead or support project management for select initiatives (e.g., event planning, research projects, retreats, system implementations or cross‑team coordination)
- Prepare materials, reports, and presentations for internal and external stakeholders, including confidential information
- Assist with risk management, process improvement, and crisis response as directed
- Assist in facilitating the definition of the project scope, goals, and objectives, involving all relevant stakeholders, and ensuring feasibility
- Ensure projects are aligned with the organization’s strategy and operational goals
- Develop comprehensive project plans to ensure that all projects are delivered on time, within scope and budget
- Coordinate internal resources and outside vendors for execution of assigned projects
- Set deadlines, assign responsibilities, and monitor progress of projects
- Manage changes to project scopes, schedules and costs
- Track project performance analyzing the successful completion of short and long‑term goals
- Measure project performance and report to management as needed
- Independently direct and manage multiple projects of varying size and complexity concurrently
- Manage compliance and other relevant approvals to completion
- Manage ongoing quality control and participate in quality issue resolution
- Perform other duties or projects as assigned by supervisor in support of Future Now’s mission and vision
Qualifications
- Bachelor’s degree in Business or a related field
- A minimum of 5+ years of direct experience, preferably working for a C‑level executive
- Passion for the organization’s mission and values

Desired Qualifications
- Familiarity with recruiting coordination and onboarding processes including applicant tracking systems (ATS)
- Experience with organizational systems such as Google Workspace, Microsoft Office Suite, Airtable, Asana (or similar project management tools), and CRM platforms
- Experience preparing presentations, budgets, or project reports
- Previous experience supporting C‑suite or senior leadership is highly valued

Compensation
The salary for this position is $111,000 - $122,500 per year*.
Salary offers are made based on the market rate and the candidate’s demonstrated level of proficiency, experience, and credentials.
