Position Summary
Reporting to the Senior Manager, RIM Operations Latin America (LATAM), you will be responsible for maintaining the comprehensive RIM Program in alignment with the Worldwide Records and Information Management (WWRIM) policies and standards.
You will represent RIM Operations LATAM as a member of several global centers of excellence and centralized teams to assess retention strategies and requirements for processes including software development, acquisitions and divestitures, records disposition, contract negotiation, and consulting expertise for the RIM community of practice.
You will be responsible for the administration and management of the RIM System to ensure data are retained throughout the information lifecycle.
You will oversee suppliers' storage services provided to the J&J companies supported by RIM.
Key Responsibilities
- Support the implementation and maintenance of the RIM Program across multiple in-scope organizations in accordance with WWRIM policies and standards, through effective communication and collaboration with business partners, encouraging increased adherence to requirements.
- Collaborate on the creation and revision of local procedures and work instructions describing local processes and actions required to implement and maintain the RIM program (local specificities).
- Support and supervise the completion of RIM training, train new Records Coordinators on their standard responsibilities and any new RIM processes, and collaborate on the creation and maintenance of training materials regularly.
- Provide support for RIM-related risk identification and mitigation, and generate management reports on the RIM Program as requested.
- Maintain the Records Coordinator Network, perform business area compliance assessments to identify significant issues, define and prepare questionnaires, interview Record Coordinators, prepare reports, and define and follow up on corrective actions as applicable.
- Control and implement inactive records storage processes and controls, and coordinate the disposition of information that has met retention expiry and legal hold requirements.
- Support the deployment and maintenance of solutions for inactive records in collaboration with the off-site storage vendor, including standard processes for paper archives and ad hoc projects to digitize archives.
- Handle relations with the off-site storage supplier through regular meetings and conduct supplier compliance assessments.
- Maintain access rights to the archiving database and ensure all current users are trained.
- Provide guidance and support to Departments/Business Units on identifying and protecting vital records, inform them of vital record inventory updates, and maintain a documented inventory of inactive vital records.
- Assist the regional RIM team in maintaining an efficient process for managing RIM-related supplier contracts, providing advice and guidance regarding RIM contract language within business-related supplier agreements.
- Review legal hold notices and support business preservation of records and information subject to legal holds.
- Review and approve record transfer forms to ensure quality of metadata and process.
- Review and approve Software Development Lifecycle documentation.
- Participate in internal and external audits and inspections as a Subject Matter Expert (SME) for RIM.
- Participate in WWRIM special projects and global initiatives to explore the diversity of global RIM programs and leverage methodologies locally.
- Contribute to LATAM RIM projects focused on implementing and deploying process improvements and new ways of working.

- A minimum of a bachelor's degree or equivalent through work experience is required.

- Advanced English skills (oral and written) are required.
- Strong understanding of Records and Information Management, with experience in Regulatory Compliance and Risk Management principles.

- Advanced education in Records and Information Management is desirable.
- Experience working in a multicultural environment with key partners across different geographical regions is an advantage.
- Project management experience is an advantage.
- Relevant certifications such as ARMA's ICRM Certified Records Manager (CRM), ARMA Information Governance Professional (IGP), AIIM Certified Information Professional (CIP), Certified Information Governance Officer (CIGO), PMI-PMP, or others are a plus.
- Experience using Electronic Records Management Software is a plus.
Other Requirements
- Travel may be required on an ad hoc basis.
