(Remote) – Job Description
Overview
We are seeking a detail-oriented Scheduler based in the Philippines to manage therapy appointments and client coordination for U.S.-based clients.
The Scheduler will support operational efficiency by ensuring timely communication, calendar accuracy, and service coordination across clinical and support teams.
This role requires confident English communication skills, familiarity with U.S. scheduling practices, and the ability to manage real-time updates in a fast-paced virtual setting.
Key Responsibilities
· Schedule and coordinate therapy sessions and assessments between clients, therapists, and supervisors
· Plan and update client appointments in systems such as NPA and internal databases
· Communicate effectively with clients, staff, and departments using tools like Viber, FluentCloud, Zoiper, and email
· Set up school observations and clinical meetings for assigned cases
· Ensure timely updates to client schedules based on real-time therapist and family requests
· Monitor service authorization timelines and alert relevant departments
· Document and update client notes, service records, and maps as per caseload responsibilities
· Collaborate with operations and clinical staff to ensure high service reliability
· Generate reports on scheduling activities, client participation, and compliance as needed
Required Skills and Qualifications
· Minimum 2 years of scheduling or administrative experience in a healthcare, therapy, or educational services setting
· Proven experience coordinating with U.S.-based clients or companies
· Proficient and confident English verbal and written communication skills
· Strong organizational and multitasking abilities with attention to detail
· Experience using scheduling systems such as NPA or CRM tools
· Proficiency in Microsoft Office (Word, Excel) and digital communication platforms
· Ability to manage real-time updates and operate independently in a remote environment
· Strong interpersonal and coordination skills for engaging with diverse teams and families
Technical Requirements
· Stable internet connection (50 Mbps or higher)
· i5 processor or equivalent (manufactured within the last 5 years)
· Minimum of 8 GB RAM
· Quiet, dedicated home office setup suitable for professional calls
· Backup power and internet capabilities
· Noise-canceling headset and webcam for video meetings
Additional Requirement
Amenable to a permanent work-from-home arrangement under a remote contractor agreement.
