Why this role matters
You'll own the Closed Won → Cash → Reporting loop.
Because this role touches money and customer data, we value integrity, discretion, and accuracy above all else.
Trust & compliance expectations
- Handle payments and sensitive information with care; follow SOPs and least-privilege access.
- Keep clean audit trails (attachments, reconciliations, notes) across our CRM, Billing System, and Internal Customer Tool.
- Background check required after a conditional offer (consistent with applicable law).
- Professional reference check (we'll ask for at least two recent managers/peers).
- Sign and uphold confidentiality agreements.
What you'll do
- Deal hygiene:
Validate Closed Won deals in HubSpot; complete required fields and attach artifacts.
- Invoicing & collections:
Send/track invoices, confirm the correct billing contact, and run a polite, consistent follow-up cadence.
- Plan setup & handoff:
Confirm plan records in our internal tool; send the customer handoff email; move renewals to Onboarding and assign CS.
- Check processing:
Monitor virtual mail for checks, forward for deposit, reconcile, and mark paid with evidence.
- Revenue reporting:
Deliver monthly, quarterly, and ARR reports with breakdowns for New, Upsell, Renewals; keep a reproducible workflow.
- Improve the system:
Tighten SOPs, propose validations/automation, and track SLAs (CW→Invoice, Invoice→Payment, check posting).
What you'll bring
- 1–4 years in Revenue/Sales Ops, Billing, A/R, or similar.
- Proven
trustworthiness
: you've handled cash flows, invoices, or bookkeeping and can point to clean audits or reliable closeouts.
- Strong written follow-through; comfortable nudging stakeholders and documenting outcomes.
- Hands-on with HubSpot + Stripe; solid spreadsheet chops (lookups, pivots).
- Professional-level English: clear, concise, and courteous communication with U.S. school administrators; strong grammar and tone control.

- Clear path to Revenue Operations Manager as we scale.
- Ownership of dashboards and automation projects.
- Cross-functional exposure to Sales and CS with executive visibility.
