Overview
We are seeking a detail-oriented Project Administrator to streamline workflows, manage documentation, and improve communication so our project managers can focus on what they do best: driving successful projects.
As a Project Administrator, you’ll provide critical operational and administrative support to our project management team.
This role is ideal for someone with strong organizational skills, a proactive approach, and a background in construction administration.
You’ll ensure smooth processes across documentation, subcontractor communication, and project tracking.
Responsibilities
- Manage document control and filing, including organizing bid proposals, submittals, RFIs, and other project documentation.
- Maintain and update project logs and trackers (submittal log, RFI log, etc.).
- Coordinate communication with subcontractors and vendors, sending reminders and following up on outstanding items.
- Assist project managers with drafting basic RFIs and supporting documents.
- Manage project platforms such as Procore, Building Connected, and SharePoint.
- Provide general administrative support, including scheduling meetings and taking minutes.
- Perform ad-hoc tasks as needed to maximize the efficiency of the project management team.
Qualifications
- 3-5 years of experience in construction administration, project coordination, or a related role.
- Strong organizational skills and exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with construction management platforms (Procore, Building Connected, or SharePoint) strongly preferred.
- Excellent written and verbal communication skills, with the ability to work independently and proactively.
- Familiarity with the construction industry is a plus.
