The Position
FullStack is seeking a detail-oriented and experienced Payroll Specialist to join our dynamic team in Colombia.
As a Payroll Specialist, you will be responsible for ensuring the accurate, timely, and compliant execution of payroll and social security processes for our workforce.
This role demands a detail-oriented professional who can navigate complex payroll operations, uphold Colombian labor and tax regulations, and deliver exceptional support to both employees and leadership.
You will act as a trusted partner in safeguarding compliance while enabling efficiency, transparency, and employee satisfaction, maintaining strict compliance with Colombian labor laws and regulations.
You will collaborate closely with HR, Finance, and external advisors to deliver seamless payroll operations that support our company’s growth.
What You Will Do
- Payroll Processing: Manage the end-to-end payroll cycle for all Colombian employees, ensuring accuracy and timeliness; administer monthly payroll cycles including prenómina validation, approval workflows, and definitive payroll closure; calculate and reconcile salaries, overtime, bonuses, deductions, and benefits according to Colombian legislation; ensure accurate withholding tax (retención en la fuente) and compliance with DIAN requirements, including electronic payroll transmission.
- Social Security & Benefits Administration: Manage employee enrollment and updates with EPS, ARL, AFP, and Cajas de Compensación; process PILA contributions and parafiscal payments; coordinate recoupment of sick leave, maternity/paternity leaves, and other social security reimbursements.
- Compliance & Regulations: Ensure compliance with Colombian labor law, tax regulations, and social security requirements; file and manage payroll-related tax and benefits contributions (e.g., health, pension, severance funds); stay up to date with regulatory changes and assess their impact on payroll processes.
- Employee Support: Serve as the primary point of contact for queries related to payroll, benefits, and compliance matters; provide clear communication to employees regarding salary, deductions, and benefits; maintain and update vacation, leave, and seniority records; process terminations, calculate and validate liquidations, and manage offboarding compliance.
- Reporting & Reconciliation: Maintain accurate payroll records and documentation; prepare and distribute payroll reports to Finance and HR for analysis; reconcile payroll data with accounting and banking transactions; prepare monthly reports on payroll provisions, benefits, and accounting interfaces; support audits, fiscal reviews, and compliance inspections with complete and accurate records; generate annual certificates (certificados de ingresos y retenciones, cesantías, etc.).
- Continuous Improvement & Advisory: Stay updated on Colombian labor laws, tax updates, and UGPP requirements; recommend process improvements and ensure best practices in payroll efficiency and compliance; support digitalization and self-service tools to enhance employee experience; identify opportunities to streamline payroll processes and improve accuracy.
What We're Looking For
- 3+ years of experience in payroll processing in Colombia, preferably in a multinational or IT/consulting environment.
- Advanced English is required.
- Successful completion of a four-year college degree is required in Accounting, Business Administration, Human Resources, or related field.
- Strong knowledge of Colombian labor legislation, Social Security, parafiscal charges, DIAN requirements, and electronic payroll.
- Proficiency in payroll systems and financial tools (e.g., Siigo, QuickBooks, or similar).
- Advanced Excel skills and familiarity with ERP/accounting interfaces.
- A positive mindset and a can-do attitude.
- Experience working on Agile / Scrum teams.
- Meaningful experience working on large, complex systems.
- Ability to take extreme ownership over your work.
