We are a growing residential construction company seeking a highly organized and proactive
Operations Virtual Assistant
to join our team.
This is a remote, long-term position that requires someone with a solid background in residential construction and a deep understanding of the BuilderTrend software platform.
About The Role
As our Operations Virtual Assistant, you'll be the linchpin of our daily operations, ensuring our projects and administrative tasks run smoothly.
This role is crucial for our company's success and requires a candidate who is not just competent but also passionate about their work and eager to grow with our company.

Key Responsibilities
- BuilderTrend Management: This is the most critical part of the job.
You will be responsible for all daily operations within the BuilderTrend platform.
Change Orders, Purchase orders and job costing will be some of the responsibilities.
- Administrative Support: Manage day-to-day administrative tasks to keep the office running efficiently.
- Vendor and Subcontractor Communication: Serve as a forward-facing representative for the company, communicating with vendors and subcontractors.
You must be able to communicate clearly and professionally with a diverse range of people, including those who may be out in the field and hard of hearing.
- Process Improvement: Identify and implement more efficient processes and workflows to improve overall productivity.
- Team Collaboration: Work closely with the owner and other team members to ensure all operational needs are met.
- Maintain accurate records; create, maintain, and organize digital files to naming standards
- Route invoices for scope approval and attach W-9/COI where required
- Weekly client update emails using BuilderTrend communication tools
- Monthly review of job cost activity in BuilderTrend to ensure consistent and proper coding; flag variances
- Bids & Procurement
- Assist in preparation of loan draws (gather invoices, lien waivers, photos, reports)
- Creation of SOP for front end office and BuilderTrend work flows.
Qualifications & Skills
- BuilderTrend Expertise: This is a non-negotiable requirement.
You must have extensive, hands-on experience using BuilderTrend for a residential construction company.
- Strong Communication Skills: Exceptional verbal and written English communication is a must.
You should have a clear, American-friendly accent that makes it easy to communicate with people in the U.S. - Clerical and Office Admin Skills: Ability to communicate and coordinate with team members and subcontractors while performing to a high level of skill with the office software.
- Problem-Solving: The ability to think critically and solve problems proactively.
