Role Overview

As the Marketing Operations and HubSpot Specialist, you'll be the architect behind a seamless lead journey—from first click to signed case.
You'll ensure every lead is captured, nurtured, and handed off with precision, while empowering leadership with clear, actionable insights.

Schedule:
Monday to Friday, possible flexible hours with availability for weekly reporting and team syncs, Arizona Time Zone (MST / PST depending on the time of year) (USA)
Your Responsibilities Will Include but Are Not Limited To:
- Configuring and maintaining HubSpot to ensure every inbound lead is captured and tracked without gaps
- Managing integrations between HubSpot and other tools (ads platforms, analytics, software) to ensure end-to-end tracking.
- Building, testing, and optimizing automated workflows for lead nurturing, follow-ups, and client communications
- Developing and refining a lead scoring model that accurately prioritizes prospects for intake and sales
- Maintaining clean, deduplicated, and up-to-date records within HubSpot to ensure reliable reporting
- Tracking each stage of the funnel (inquiry → consultation → signed case) to identify bottlenecks and leakage
- Quickly identifying and resolving CRM or automation issues, ensuring zero lead leakage and accurate reporting
- Providing clear, accurate dashboards for leadership with CAC, conversion rates, lead volume, and performance
- Translating metrics into clear insights and regular reporting
- Delivering actionable recommendations based on data trends to improve funnel efficiency and conversion
- Continuously improving systems to maximize efficiency and effectiveness
- Collaborating with sales and marketing leaders to ensure workflows support operational needs
- Identifying and implementing system enhancements that increase automation efficiency and reduce manual tasks
- Training team members on HubSpot features and provide ongoing support to improve adoption and usage
- Ensuring all CRM processes comply with data privacy laws and internal firm policies
- Contributing to the development of firm standard operating procedures (SOPs) related to marketing operations and HubSpot
- Performing other duties as assigned
What We're Looking For:
- At least three to five years of experience in marketing operations, CRM administration, or marketing analytics
- Deep knowledge of HubSpot CRM, workflows, and automations
- HubSpot certification(s) strongly preferred; other CRM experience a plus
- Proven track record of building and maintaining efficient, reliable funnel operations
- Strong time management and multitasking skills
- Excellent communication and collaboration abilities
- Bachelor's degree in Marketing, Business, Data Analytics, or related field preferred (or equivalent work experience)
- Familiarity with HubSpot CRM configuration and automation, Funnel tracking and optimization, Lead scoring and nurturing, Data analysis and dashboard creation, Workflow design and troubleshooting, Integration management
