What This Job Involves
This position serves as the first point of contact for clients and visitors, delivering exceptional customer service while managing the reception area and coordinating various administrative tasks.
The Lobby Host creates positive experiences through professional hospitality, effective communication, and proactive problem‑solving to ensure seamless daily operations and client satisfaction.
Your day-to-day tasks will include:
- Greet and welcome clients and visitors, providing information and assistance in a professional manner (Greet, register and badge visitors).
- Manage incoming calls and emails, responding promptly and effectively to inquiries and requests and courier services.
- Coordinate and schedule appointments, meetings, and events with attention to logistics, execution and meeting room audiovisual and required setup.
- Handle and resolve guest complaints or issues, escalating when necessary to ensure satisfactory outcomes.
- Collaborate with internal teams including facility management and security to address client needs.
- Maintain organized and tidy reception area to ensure a welcoming professional environment.
- Proactively identify service delivery improvements and suggest innovative solutions.
- Support work order management, purchase orders creation/control and administrative functions for facility operations.
- Collaborate with cross-functional teams across Facility Management and local team.
- Complete the reports that are required according with the role (use of rooms/spaces, calls quantity, visitors, etc.).
Required Qualifications:
- High school diploma or equivalent education.
- Proven experience in customer service role, preferably in hospitality or property management.
- Excellent interpersonal and communication skills, both verbal and written.
- Strong organizational and multitasking abilities with attention to detail and accuracy.
- Proficiency in MS Office and customer service management systems.
- Ability to handle difficult situations with professionalism and tact.
Preferred Qualifications:
- Additional relevant certification in hospitality, customer service, or related field.
- Experience working in commercial real estate or corporate office environment.
- Familiarity with building management systems and security protocols.
- Bilingual capabilities to serve diverse client bases.
- Experience with scheduling software and visitor management systems.
- Knowledge of event coordination and meeting room setup.
