We are seeking a proactive, detail-oriented Legal Virtual Assistant to support a client operating a boutique law firm.
This dual-role position is primarily client-facing—supporting daily legal and administrative operations—while occasionally assisting Valgorithm's internal team on related projects.
The ideal candidate has experience with MyCase, Google Workspace, Slack, and excels in critical thinking, task management, and proactive communication.

Responsibilities
Client-Specific Responsibilities
Operations & Admin Management
Serve as the primary VA supporting the client in daily legal operations
- Execute and maintain operational workflows designed by Valgorithm
- Manage case workflows, documents, and client communication through MyCase
- Track and update invoice records using Google Sheets and within MyCase
- Support email triage and management: read, interpret, classify, label, and maintain an email tracker to ensure timely follow-up and task creation
- Schedule and coordinate meetings, client calls, and court-related events using Google Calendar
- Draft, edit, and manage legal correspondence, contracts, and templates
- Follow up with clients and stakeholders on documentation, scheduling, and task updates
Ensure all legal and operational files are well-organized and updated in Google Drive and MyCase
Organization & Communication
Maintain trackers for client data, billing, and operational documentation in Google Sheets
- Proactively communicate with the client and legal team, providing timely updates and clarifications
- Identify process gaps or opportunities for optimization and communicate them to Valgorithm for review
- Use SOPs and documentation effectively to ensure consistent performance and process compliance
Valgortihm-Specific Responsibilities
While the VA's focus is on supporting the client, they will occasionally assist the Valgorithm team with internal operations related to the same client or other clients.
These responsibilities may include:
- Providing high-level administrative support to the CEO and VA Manager
- Collaborating with the CEO and VA Manager on internal reporting related to the client
- Participating in internal meetings and maintaining brief documentation in project management tools or shared folders
- Offering insights from client interactions to support process improvement or service quality initiatives
- Adhere to processes and best practices established by Valgorithm to maintain consistency and professionalism
- Utilize Google Workspace, Slack, and project management tools to streamline workflows
Day Plan
First 30 Days - Onboarding & Training
- Complete onboarding with Valgorithm, including training on internal tools and operational processes
- Shadow the VA Manager to understand client workflows, expectations, and communication style
- Begin light support on administrative tasks to build familiarity with systems and workflows
- Start managing basic email and scheduling tasks under supervision
- Begin entering and organizing data in MyCase and Google Drive
- Join internal meetings and observe client meetings where applicable
- Provide weekly check-ins and progress updates to the VA Manager and Founder
Key Results by Day 30:
- Understand Valgorithm's structure, tools, and client support standards
- Navigate MyCase and Google Workspace confidently
- Complete foundational tasks with minimal guidance
- Build rapport with the internal team and begin to understand client dynamics
Days Increased Responsibility & Client Interaction
- Take ownership of recurring admin tasks (email management, scheduling, document generation)
- Independently manage and update MyCase records and client-facing trackers
- Respond to client and team messages promptly and professionally
- Handle client task follow-ups and send progress updates without being prompted
- Track project timelines and deadlines using internal tools
- Identify opportunities to streamline processes or reduce manual work
- Continue weekly check-ins with the VA Manager, highlighting wins and challenges
Key Results by Day 60:
- Manage core client workflows independently (MyCase, Google Workspace, Slack)
- Demonstrate reliability and ownership in daily operations
- Communicate confidently with clients and team
- Proactively identify small process improvements and share ideas with the team
- Serve as a consistent and trusted support for the client
Days Full Execution & Optimization
- Fully own assigned client communications, task execution, and documentation workflows
- Anticipate client and team needs
- Refine and document repeatable processes to support future scalability
- Support project management initiatives led by Valgorithm
- Collaborate with the VA Manager on team improvements
- Contribute to creating a smooth feedback loop between clients and Valgorithm
- Deliver regular status reports without prompting, showing clarity and initiative
Key Results by Day 90:
- Operates as a reliable, self-sufficient VA for both Valgorithm and the client
- Maintain organized, up-to-date MyCase and documentation systems
- Build trusted working relationships with both the internal team and client
- Actively contribute to operational improvements and service quality
- Be fully integrated as a valued member of the Valgorithm team
Requirements
Experience
- 1+ years as a legal assistant, paralegal, or virtual assistant supporting legal professionals
- Experience with MyCase or other case management/CRM tools
- Proficiency in Google Workspace (Gmail, Sheets, Docs, Calendar, Drive) and Excel
- Comfort using Slack for internal communication and coordination

Work Environment Requirements
To ensure a productive work environment, the following is required:

- Backup Internet Connection: A secondary internet option like pocket wifi, prepaid modem, or mobile data plan
- Quiet Workspace: A consistently quiet workspace free from background noise
Licensed Operating System: A licensed Windows 10 or higher operating system for Windows PCs and laptops, or MAC OS X v or higher for Mac devices.
