Role Overview

In this role, you’ll be the first point of contact for clients, guiding them through the legal process with empathy and precision.
You’ll play a vital role in building strong cases by gathering key documents, coordinating with experts, and ensuring every detail is in place.

Schedule
Monday to Friday from 8:00 AM to 5:00 PM EST (USA)
Responsibilities
- Communicating with clients to gather documents and case information
- Maintaining regular updates with clients on case progress and deadlines
- Coordinating client signings for authorizations, HIPAA forms, and retainers
- Preparing and sending welcome/intake packets
- Collecting essential case documents such as death certificates and insurance paperwork
- Requesting, tracking, and organizing medical records and billing statements
- Reviewing records for completeness and following up on missing documentation
- Drafting and sending preservation of evidence letters and spoliation notices
- Organizing records for expert review
- Drafting and tracking expert retention letters and managing expert files
- Scheduling expert consultations and tracking deadlines for reports
- Drafting, proofreading, and filing legal documents, including complaints and discovery
- Submitting records to courthouses and managing litigation calendars
- E-filing pleadings and motions in D.C., Maryland, and Virginia
- Communicating with opposing counsel, court clerks, and judicial assistants
- Scheduling and supporting attorney-client meetings for depositions and mediations
- Coordinating lien resolution and ensuring all documentation is finalized
- Assisting with settlement documents and disbursement schedules
- Maintaining digital case files and managing administrative tasks
- Providing general support to attorneys, including scheduling and correspondence
What We’re Looking For
- At least one to two years of experience as a legal assistant or related positions in US law firms
- Excellent command of the English language
- Prior experience in legal support or case management
- Experience with US law firms (Mandatory)
- Strong written and verbal communication
- Excellent organizational and time management skills
- Ability to manage multiple deadlines and follow through independently
- Attention to detail in reviewing and preparing legal documents
- Proficiency in managing digital files and case records
- Empathetic and client-focused
- Task-oriented and proactive
- Professional and composed under pressure
- Adaptable in a fast-paced environment
- Committed to integrity and confidentiality
