Job description

We are seeking a talented individual to join our Global Capability Center team at the Administrative Assistants Hub.

This role will be based in Bogota.

This is a hybrid role that has a requirement of working at least three days a week in the office.

Administrative Assistants ensure smooth daily operations for teams, departments, or senior executives by managing travel, calendars, expenses, and correspondence.

The Lead Administrative Coordinator, operating at a higher support level, oversees daily administrative functions, resolves complex issues, mentors junior staff, and ensures quality control and effective communication within the team.

We will count on you to:

  • Monitors continuity of administrative work operations by discovering irregularities and communicating recommendations to management, while maintaining confidentiality of sensitive information.

  • Resolves administrative problems by analyzing information and identifying and communicating solutions to enhance performance.

  • Provides high level secretarial and administrative support, maintaining discretion and confidentiality.

  • Provides training and mentoring and evaluates performance of lower-level administrative staff in the department to facilitate employee development and achievement of their personal goals.

  • Provides peer review of documents before final production/distribution to ensure quality control of final product.

  • Handles higher level internal and external inquiries to support high level of customer satisfaction and communication.

  • Undertakes complex administrative duties with specific projects as required.

What you need to have:

  • Minimum of 3-5 years of experience in high-level administrative support, preferably in a leadership or coordinator role.

  • Demonstrated attention to detail and ability to perform quality control on documents and correspondence.

  • Strong leadership skills with experience mentoring or supervising junior administrative staff.

  • Excellent communication skills, both written and verbal, with a focus on professionalism and discretion.

  • Experience handling confidential and sensitive information with integrity.

  • Proficiency in office software and administrative tools (e.g., Microsoft Office Suite, calendar management systems).

  • Advanced level of English C1.
