Overview
We’re looking for a detail-oriented and experienced Insurance Virtual Assistant to provide essential back-office support to our U.S. insurance clients.
This role is key in maintaining accurate records, ensuring compliance, and keeping day-to-day operations running smoothly.
The ideal candidate has hands-on insurance experience, thrives in a fast-paced environment, and brings strong organizational and problem-solving skills to the team.
Responsibilities
- Certificate Processing: Accurately prepare, issue, and update insurance certificates in a timely manner.
- Attachment Management: Review, manage, and correctly route unrouted attachments within agency management systems.
- Download Processing: Process carrier downloads to ensure policies and endorsements are properly matched and recorded.
- Document Retrieval: Access and retrieve policy documents, endorsements, and notices directly from carrier portals.
- Cancellation Notices: Monitor and process Notices of Cancellation (NOCs), update records, and escalate when needed.
- Data Entry & Accuracy: Maintain precise, compliant records across multiple systems.
- Collaboration: Partner with internal teams to resolve discrepancies and complete tasks efficiently.
- General Administration: Support other insurance back-office tasks as assigned.
Qualifications
- Minimum 3 years of insurance industry experience (agency, brokerage, or carrier support preferred).
- Strong knowledge of policy documentation, processing workflows, and compliance requirements.
- Familiarity with agency management systems such as Vertafore, Applied Epic, HawkSoft, Bridge, or Magellan.
- High attention to detail, accuracy, and confidentiality in handling client data.
- Strong organizational and time-management skills.
- Ability to work independently in a remote setting while supporting a U.S. team.
- Proficiency in English (written and verbal); bilingual skills are a plus.
