Packages are sent to our warehouse, and we communicate directly with residents to coordinate secure and convenient door‑to‑door delivery.

We are seeking a Facilities Coordinator to oversee the daily planning, coordination, and execution of facility operations across multiple locations.
The ideal candidate is organized, proactive, and detail‑oriented, ensuring our spaces remain safe, functional, and efficient.
This role operates with a high level of autonomy and requires strong judgment to prioritize facility needs, evaluate vendor performance, and recommend operational improvements.
While this position is remote, it is responsible for overseeing multi‑site facility operations and coordinating directly with field and vendor teams nationwide.
What you'll do
Facility Operations and Maintenance
- Independently prioritize and coordinate facility maintenance and repair requests across all locations.
- Schedule preventive maintenance tasks and follow up to ensure timely completion.
- Conduct or oversee facility inspections to identify maintenance needs and recommend corrective actions.
- Respond to urgent maintenance issues and determine appropriate next steps or escalation.
- Collaborate with leadership to assess facility system needs and recommend maintenance priorities for HVAC, plumbing, lighting, and security systems.
Vendor Management and Operational Budgeting
- Serve as the primary point of contact for vendors and contractors regarding maintenance, cleaning, and repair work.
- Evaluate vendor performance and make recommendations regarding contract renewals or service improvements.
- Coordinate service schedules, track completion, and maintain vendor documentation.
- Monitor facility expenses, analyze cost trends, and identify opportunities for operational efficiencies.
- Process and review facility‑related invoices to ensure accuracy and alignment with budget guidelines.
- Support purchasing and inventory management for equipment, furniture, and supplies.
Safety, Security, and Compliance
- Support and help drive safety and security initiatives, including access control and emergency preparedness.
- Monitor compliance with local, state, and federal safety standards, documenting and addressing any gaps.
- Oversee inspection follow‑up and determine appropriate corrective actions or escalation when compliance gaps are identified.
- Partner with leadership to implement facility safety processes and maintain documentation for audits or inspections.
Administrative and Project Coordination
- Maintain accurate records of maintenance activities, vendor contracts, and facility documentation.
- Plan and manage logistics for facility projects such as relocations, expansions, or site improvements.
- Coordinate communication and resources for new site launches and internal moves.
- Assist with space utilization planning and inventory tracking to support operational efficiency.
- Generate periodic reports summarizing facility status, costs, and project progress, providing recommendations for improvement.
What you'll need
- Associate degree or equivalent experience required; bachelor’s degree in Facility Management, Business Administration, or a related field preferred.
- 2–4 years of experience in facilities coordination, vendor management, or operational support.
- Strong analytical and problem‑solving skills with the ability to make sound, independent decisions.
- Excellent communication and interpersonal abilities to influence vendors and collaborate across teams.
- Working knowledge of building systems, maintenance scheduling, and safety protocols, with the ability to assess needs and recommend corrective actions.
- Proficiency in Google Suite; experience with facility management systems a plus.
- Demonstrated ability to prioritize multiple projects, analyze data, and manage competing demands in a fast‑paced, remote environment.
