About The Job
The Facilities Assistant ensures the campus has the most suitable working environment for its employees.
As part of this role, the candidate will manage a variety of services and processes to support our core business needs.
As Facilities Assistant, You Will…
- Direct, coordinate and plan essential needs such as reception, security, maintenance, mail/deliveries, cleaning, catering, waste disposal and recycling
- Ensure the building meets health and safety requirements, and create emergency preparedness plans for legislation compliance
- Circulate designated floors to ensure overall cleanliness and security standards are met
- Respond appropriately to emergencies, or urgent issues as they arise
- Audit campus for marketing violations, and partner with management to implement appropriate branded signage
- Support overhaul and flips of current spaces to be more in line with brand standards
- Assist in creating procurements, designing portions, and ordering furniture when applicable
- Supervise and coordinate contractor work for various projects as required, and follow up on any deficiencies
- Manage Jira to flag items for final spend approvals to the Campus Director.
- Responsible for the daily management of Baxter to ensure we are prepared for all site visits, which pertains to badges, food orders, TV screen display, and boardroom preparation
- Upload Docusigns when necessary for projects, procurements, contractor RFP, vendor payouts, etc
- Responsible for all transportation logistics for both internal and external clients
- Act as liaison between the Campus and local government offices regulatory requirements
As Facilities Assistant, You Have…
- Post-secondary degree or college graduate
- Must be BOSH trained or certified
- At least 2+ years of relevant work experience
- Ability to manage multiple projects in a timely manner, be organized and prioritize projects
- An eye for design and exceptional attention to detail
- Ability to handle a high volume of work
- Ability to follow organizational policies and procedures
- Proven leadership qualities such as critical thinking and problem solving to aid in overcoming difficult situations
- Excellent communication skills and a passion for collaborating with a wide range of people
- Expertise in providing detailed reports and inventory summary
- Ability to thrive in a fast-paced, ever-changing work environment
- Flexibility to work a variety of shifts including days, evenings, weekends and holidays (depending on required project deadlines or emergencies)
