Role Overview As an Executive Assistant, you will support daily operations, manage calendars, handle basic bookkeeping and accounting, and help build efficient processes from scratch.

You will also contribute to light marketing initiatives, such as social media support and content creation, while ensuring smooth coordination between clients and the team.

This role requires adaptability, attention to detail, and the ability to thrive in a fast-paced startup environment.

Location : Full-time, (Remote), 9 AM – 5 PM EST or 10 AM – 6 PM EST.

Key Responsibilities

  • Bookkeeping & Accounting: Manage receipts, track revenue and expenses, and maintain accurate financial records.

    AR management is a plus.

  • Calendar Management: Organize and support scheduling, meetings, and daily activities.

  • Process Building: Create and implement SOPs to optimize efficiency in areas without defined workflows.

  • Client-Facing Role: Support clients during calls and meetings, ensuring smooth business operations.

  • Project Management Tools: Use platforms such as Notion, ClickUp, Asana, or Monday.com to build and manage processes.

  • Light Marketing Support: Assist with social media, website tasks, and Canva-based content creation.

Qualifications

  • 2+ years of experience as an Executive Assistant or in a similar role, with exposure to bookkeeping.

  • Experience in “zero to one” process creation within startups.

  • Knowledge of bookkeeping and accounting fundamentals.

  • Familiarity with AR management (nice-to-have).

  • Strong organizational and calendar management skills.

  • Excellent communication skills for client and team interaction.

  • Experience with Canva for content creation (preferred).

  • Proficiency with project management tools such as Notion, ClickUp, Asana, or Monday.com (Notion is a bonus).
