Executive Assistant to Chief Executive Officer

We are a recruitment company that helps U.S.-based businesses grow by connecting them with top-tier virtual assistants and remote professionals from Latin America.

We are currently hiring a highly organized, proactive Executive Assistant to directly support our CEO and collaborate with our Operations and HR teams .

Key Responsibilities

  • Provide high-level administrative support to the CEO.

  • Manage and organize executive calendars , schedule meetings, and ensure timely follow-ups
  • Prepare internal and client-facing reports.

  • Track and manage KPIs, SOPs , and other performance metrics
  • Coordinate communications across internal teams and external stakeholders
  • Support internal recruitment and onboarding processes when needed
  • Follow up with leads and clients via email and phone
  • Use tools such as Slack, HubSpot, Zoho CRM , and Google Workspace to streamline tasks.

Who You’ll Work With

  • You will report directly to the CEO
  • You’ll collaborate closely with:
  • Operations team (for reporting and project updates)
  • HR/Recruiting (for onboarding coordination)
  • Marketing and Sales (for client follow-ups)

Tools You’ll Use

  • Slack – team communication
  • Google Workspace – docs, sheets, calendar management
  • HubSpot / Zoho CRM – lead tracking and client interactions
  • Notion or ClickUp – SOP and task tracking
  • Zoom / Google Meet – meetings and calls

Requirements

  • Minimum 2 years’ experience in a similar Executive or Administrative Assistant role supporting a CEO or executive-level leader
  • Fluent English skills (C1+) – both spoken and written
  • Solid experience with calendar management, reporting, and CRM tools
  • Strong skills in organizing SOPs and tracking KPIs
  • Highly proactive, detail-oriented, and excellent at multitasking
  • Must have a reliable internet connection and access to a quiet, distraction-free workspace

Schedule & Compensation

  • Full-time: 40 hours/week
  • Schedule: Monday to Friday, 8:30 AM – 5:30 PM
