Role
You serve as the liaison between the CEO and the rest of the company.
You are responsible for executing processes and making decisions on behalf of the CEO on a one-to-one basis across a variety of tasks related to the CEO’s working and personal life.
You will work directly with the CEO, who engages in visionary projects and client strategies.
Your role is to ensure the CEO’s day-to-day needs are managed to maximize productivity, often involving abstract or ambiguous requests.
You will think independently, ask clarifying questions, and perform quick research to inform your approach.
To excel, you should be flexible, calm under pressure, strategic, and able to move quickly when needed.
You will be asked to stretch and grow with the CEO and the business.
Responsibilities
- Managing projects on behalf of the CEO to ensure the team is held accountable and KPIs are met
- Preparing meeting minutes for the Weekly Executive Meeting and other meetings; documenting project status to hold attendees accountable
- Prioritizing and blocking the CEO’s agenda each week to maximize productivity
- Debriefing the CEO at the start of each day on emails/messages/requests that require insight
- Acting as a liaison with the Leadership team and CEO; documenting items needed from the CEO by leadership and inserting them into the calendar
- Handling incoming communication inquiries on behalf of the CEO and acting as a liaison on social channels (YouTube, Facebook, Instagram)
- Assisting with execution of new projects and objectives; coordinating meetings, paperwork, vendor follow-ups, and launches
- Serving as point of contact for all direct reports of the CEO
- Organizing travel and coordinating with other EAs
- Conserving executive time by reading, researching, and routing correspondence; drafting letters and documents; collecting information for the CEO
- Ensuring the CEO’s home is stocked with necessary items to maintain peak condition
- Reminding the Executive of important tasks, due dates, and decisions
- Assisting with other tasks as needed
- Code credit card transactions monthly on behalf of the CEO
- Researching and purchasing gifts for business and personal occasions
- Researching new markets for real estate acquisitions
- Assisting the CEO with banking and refinancing properties
- Running pro-formas on properties identified for potential acquisitions
- Admin-related tasks such as managing Asana, booking complex travel, and domain management when relevant
Requirements
Hard Qualifications
- Minimum of 2–4 years experience supporting a C-level executive or business owner
- Bachelor’s degree
- Demonstrated ability to perform in a fast-paced, dynamic environment
- Excellent interpersonal skills and ability to work with individuals at all levels
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to handle multiple high-priority tasks without losing focus
- Laptop with high-speed internet access (Windows preferred but not required)
