Location: Remote Friendly in Central, PST or EST.
Responsibilities
- Calendar Management
- Coordinate and optimize the CBO’s calendar for efficiency and effectiveness.
- Prioritize meetings based on the CBO’s strategic goals and priorities.
- Resolve scheduling conflicts proactively and efficiently.
- Travel Arrangements
- Use travel management tools to streamline booking and minimize costs.
- Tailor travel arrangements to the CBO’s preferences and requirements.
- Correspondence
- Respond to emails and phone calls promptly and professionally.
- Follow up on action items and ensure timely resolution.
- Handle all correspondence with discretion and confidentiality.
- Project Coordination
- Track progress and deadlines using project management tools.
- Keep documents, processes, and procedures up-to-date.
- Identify and address potential risks and challenges.
- Prepare clear and concise presentations summarizing research findings.
- Provide operational support as needed.
- Administrative Tasks
- Streamline administrative processes to maximize efficiency.
- Maintain organized filing systems and records.
- Leverage technology to automate tasks and improve productivity.
- Communicate effectively with all levels of the company.
- Minute Taking
- External Partner Coordination: Act as the point of contact among founders, employees, clients, and other external partners and customers.
- Customer Executive Interaction: Interface with executives and/or their EAs of Robot.com customers and prospects to arrange meetings and secure calendar time for the CBO.
Qualifications
- Education: Bachelor's degree or equivalent experience.
- Experience:
- Minimum 4 years as an Executive Assistant or in a similar administrative role.
- Experience interacting externally with senior executives and their EAs of major customers and partners.
- Skills:
- Strong organizational and time management skills.
- Excellent verbal and written communication in English; Spanish is a plus.
- Proficiency in Microsoft Office and G-Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Detail-oriented with the ability to handle multiple tasks simultaneously.
- Discretion and confidentiality.
- Technology Proficiency: Advanced proficiency in Notion, AI tools, and travel management tools.
- Problem-Solving: Ability to identify and solve problems creatively and effectively.
- Adaptability: Flexibility to adapt to changing priorities and work environments.
- Attention to Detail: Meticulous attention to detail and accuracy in all tasks.
- Information Synthesis: Ability to synthesize information and create reports.
- Nice to have: Valid US Visa B1/B2.
