On behalf of our client, we are seeking a highly organized and professional Executive Assistant to provide comprehensive administrative support to our client’s executive team, ensuring smooth day-to-day operations and efficient workflow.
The ideal candidate is detail-oriented, a quick thinker, and skilled at managing multiple priorities in a fast-paced environment.
The workload will vary from week to week, requiring flexibility and adaptability.

Key Responsibilities
- Manage the executives calendar, schedule meetings, coordinate travel, and ensure that they are well-prepared for all commitments.
- Serve as the primary point of contact for the CEO and VP, handle emails and calls, respond to inquiries, and ensure timely follow-up on outstanding matters.
- Draft, edit, and format documents, reports, and presentations for the executives, ensuring accuracy, clarity, and professionalism.
- Schedule and prepare agendas for CEO and VP-led meetings, take detailed minutes, and distribute action items to relevant stakeholders.
- Track and manage tasks, deadlines, and follow-ups to keep the executives focused on top priorities.
- Maintain accurate records, files, and databases with the highest level of confidentiality.
- Act as a professional representative of the executives in interactions with internal staff, clients, and external partners.
- Ad Hoc Support: Provide flexible support on special projects, research, event planning, and other assignments as directed by the executive team.
Requirements & Qualifications:
- Minimum of 2 years proven experience as an Executive Assistant, preferably supporting senior management or executives.
- Prior experience in a fast-paced work environment.
- Strong organizational and multitasking skills with keen attention to detail.
- Ability to think quickly, troubleshoot, and solve problems effectively.
- Excellent written and verbal communication skills, with a professional demeanor.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and related tools.
- Proven ability to handle sensitive information with the utmost confidentiality and discretion.
- Strong time management skills with the ability to prioritize competing demands.
- Two professional references and a valid criminal background check issued within the last 60 days are required for all successful applicants.
- Completion of intake paperwork, including submission of a valid tax identification number (e.g., Social Security Number, Social Insurance Number, or the country's equivalent), is required before onboarding.
Working Hours:
Part-Time (20 hours per week)
Monday through Friday 8 a.m. to 12:00 p.m. or 1:00 p.m. to 5 p.m. Eastern Time
Pay: $375 + $30 Allowance per month
