We use a mix of live coaching, asynchronous video reflection, and deep systems work to drive transformation that sticks.
We're hiring a Client Operations Coordinator to serve as a key member of our team—someone who combines high-level organization, clear communication, and technical savvy to support our clients and internal systems as we grow.
This is not an entry-level virtual assistant—it's a core team role designed for someone who thrives in a fast-changing, detail-rich, people-first environment.
What You'll Be Doing
You'll work across client delivery, internal operations, and systems support.
Your day-to-day will evolve, but typical responsibilities might include:
- Managing and maintaining shared docs, folders, and client materials
- Supporting onboarding and helping clients learn how to use async tools like Loom, Google Docs, and Notion
- Collecting and organizing transcripts, notes, summaries, and video links from coaching workflows
- Using AI tools to help summarize content and support coaching prep
- Improving or suggesting tweaks to workflows, systems, or documentation
- Maintaining light design tasks (Canva visuals, form polish, template formatting)
- Building and maintaining SOPs or internal wikis as processes evolve
Your role is equal parts executor, organizer, communicator, and improver.
We want someone who brings attention to detail, but also sees the bigger picture—and is comfortable owning it.
Who We're Looking For
Required Skills & Traits:
- Strong written communication and client-facing confidence
- High organizational ability and attention to detail
- Tech-fluent: Google Workspace, Loom, Canva, ChatGPT, Zapier
- Experience with Notion or ClickUp (both a plus)
- Comfortable learning and using AI tools and automation
- A systems thinker who wants to improve what already exists—not just follow steps
- Self-directed, reliable, and comfortable with ambiguity
Bonus Points For:
- Experience in a coaching, consulting, or service business
- Exposure to working with construction teams or field service businesses
- Light design or content formatting background
- Familiarity with Slack, Fathom, or async-first communication setups

- Coaches walk into sessions fully prepared—without needing to chase info
- Materials are clean, timely, and consistent
- Internal systems stay organized as the business grows
- You regularly spot inefficiencies, suggest fixes, and implement improvements
