The Owner requires a dedicated, full-time administrative professional to manage essential patient communications and documentation, ensuring smooth clinic operations and exceptional patient experience.
About the Role:
The Clinic is hiring one full-time Bilingual Medical VA to serve as the administrative backbone.
This is a critical support role focused on efficient patient handling, detailed administrative organization, and covering the Clinic's after-hours communications.
The ideal candidate must possess outstanding communication skills and be comfortable acting as a professional remote receptionist.
Key Responsibilities
1.
Patient Communication & Reception
- Answering Calls: Serve as the primary point of contact by answering incoming calls professionally and fielding inquiries.
- Bilingual Support (Mandatory): Provide fluent, reliable support in both English and Spanish to communicate effectively with the diverse patient base.
- Appointment Management: Assist with scheduling, rescheduling, and confirming patient appointments.
- Communication Hub: Direct patient inquiries to the appropriate in-house staff or specialist.

Administrative & Operational Support
- General Admin: Provide comprehensive administrative support to the Clinic Owner and staff.
- Data Management: Assist with organizing, tracking, and maintaining patient records and essential documentation.
- Claim/Injury Assistance: Assist with administrative tasks specific to auto accident or injury claims documentation (training will be provided, but organizational skill is key).
- Billing & Payments: Manage patient billing inquiries, process payments, and assist with general accounts receivable tasks for the clinic.
Qualifications & Skills
Communication & Cultural Skills
- Bilingual Fluency: Mandatory fluency (written and spoken) in both English and Spanish to support communication with patients and legal contacts.
- Strong Communication: Outstanding professional phone etiquette and strong written communication skills.
- Cultural Fit: Ability to communicate empathetically and professionally with a diverse patient population.
Experience
- Medical Experience (Preferred): Prior experience in a medical clinic, chiropractic office, or any injury claims environment is preferred, though not strictly required.
- Administrative Experience: Proven background in administrative support, scheduling, and general office tasks.
- Billing Experience (Preferred): Prior experience handling billing, accounts receivable, or payment processing is a strong plus.
