As an EA, you will design, implement, and oversee systems that create more time, reduce bottlenecks, and scale operations.

Key Responsibilities
- Process Improvement & Systems Design
- Assess current workflows, processes, and tools to identify inefficiencies and areas for improvement.
- Set up and document streamlined systems and Standard Operating Procedures (SOPs) for repeatable efficiency.
- Monitor performance metrics and recommend adjustments to improve output and results.
- Assessment & Strategy Development
- Evaluate current workflows and identify opportunities for AI automation and process improvement.
- Analyze day-to-day operations to identify tasks that can be automated effectively.
- Develop a clear roadmap outlining recommended AI solutions, priorities, and timelines.
- Solution Design & Implementation
- Research and recommend AI tools and automation platforms that are suited to a business's specific needs.
- Design, build, and integrate AI-driven workflows to enhance operational efficiency.
- Test and refine automations to ensure seamless system performance and reliability.
- Training, Documentation & Adoption
- Create easy-to-follow documentation and standard operating procedures (SOPs).
- Conduct training sessions to help team members understand and use the implemented tools.
- Support adoption and provide user guidance to ensure long-term success.
- Evaluation, Optimization & Ongoing Support
- Monitor implemented automations to measure results and identify improvement areas.
- Recommend adjustments or additional automations for continuous optimization.
- Provide post-project support, troubleshooting, and periodic updates as needed.
- Ad Hoc & Special Projects
- Handle one-off automation or AI integration requests outside the main project scope.
- Research emerging AI tools, trends, and best practices.
- Support special initiatives or experimental projects related to AI and workflow enhancement.
The Profile
Requirements
- Proven experience as an Executive Assistant, Operations Manager, or similar role in a growing business.
- Proven experience in AI automation, process optimization, or digital workflow integration.
- Proficiency with no-code/low-code automation tools (e.g., Zapier, Make, Airtable, Notion AI, ClickUp Automations).
- Hands-on experience using AI tools such as ChatGPT, Claude, or Gemini for business applications.
- Strong analytical, problem-solving, and communication skills.
- Ability to work independently, manage project timelines, and deliver practical, results-oriented solutions.
- Two professional references and a valid criminal background check issued within the last 60 days are required for all successful applicants.
- Completion of intake paperwork, including submission of a valid tax identification number (e.g., Social Security Number, Social Insurance Number, or the country’s equivalent), is required before onboarding.
Working Hours:
Part-Time (20 hours per week)
Monday through Friday 8 a.m. to 12 p.m. or 1 p.m- 5 p.m Pacific Time
