About the Role
We are seeking a highly organized and proactive
Administrative Assistant – Executive Support
to provide critical support to the corporate team by managing administrative functions, coordinating projects, and ensuring efficient information flow across the organization.
This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment.
The ideal candidate will have prior experience in administrative support, outstanding communication skills in English, and a strong understanding of U.S. business culture—preferably gained through previous work with American companies.
Adaptable and resourceful, this individual will play a key role in supporting executives, streamlining operations, and enabling effective decision-making.
Key Responsibilities:
Document Preparation
: Draft, edit, format, and proofread reports, presentations, proposals, and internal communications.
Ensure accuracy, consistency, and professionalism in all written materials.
Maintain version control and proper distribution of executive documents.
Research & Information Gathering
: Collect and synthesize data to support executive decision-making.
Prepare briefing materials for meetings, presentations, and strategic initiatives.
Conduct industry and competitor research as needed.
Project & Task Coordination
Track project timelines, deliverables, and deadlines to ensure successful completion.
Provide updates and reminders to executives on outstanding tasks.
Assist with cross-functional coordination between departments.
Administrative Support
: Schedule meetings, and coordinate logistics for the corporate team.
Maintain accurate and organized digital and physical filing systems.
Handle internal and external communications with discretion and professionalism.
Answer incoming calls to the corporate line, provide assistance when possible, and route calls to the appropriate team members or executives.
Support daily office functions, supply management, and correspondence handling.
Logistical Support
: Assist in planning and executing corporate events, team-building activities, and executive meetings.
Provide virtual support for company events and meetings.
Customer Reviews Management
: Monitor online customer reviews and feedback channels.
Draft professional responses and escalate issues to appropriate team members for resolution.
Track recurring concerns and report trends to leadership.
Task & Information Management
: Create, manage, and update tasks in Asana.
Ensure project information is accurate, deadlines are monitored, and progress is reported.
