Role Summary
OQ Trading Technology is seeking a proactive and highly organized
Executive Assistant (EA)
to work directly with our co-founders.
This role goes beyond scheduling — the EA will be a trusted partner, supporting strategic decision-making, keeping operations running smoothly, and contributing through targeted market research.

Main Responsibilities

Confidential Executive Support
- Manage complex calendars, schedule meetings, and optimize the co-founders' time around priorities.
- Act as the first point of contact for communications, handling messages with discretion.
- Prepare and proofread documents, presentations, and reports for high-level meetings.
- Organize travel itineraries, accommodations, and logistics for business and personal trips.
2.
Operational, HR & Administrative Support
- Track projects, action items, and deadlines to ensure timely follow-up.
- Act as the
first filter for candidates
by reviewing resumes, shortlisting profiles, and coordinating interview scheduling.
- Support onboarding of new hires, including logistics, documentation, and first-day setup.
- Coordinate with external vendors and assist with general office operations.
- Support expense tracking, invoice processing, and light bookkeeping tasks.
- Maintain confidential files, contracts, and company records securely.
3.
Market Research & Process Improvement
- Research tools and best practices to optimize workflows (HR systems, invoice automation, etc.).
- Compare vendors, prepare reports with clear recommendations, and present findings.
- Stay current with industry trends, regulatory updates, and new technologies.
4.
Personal Assistance
- Assist the co-founders with occasional personal tasks (appointments, travel, reservations) while maintaining discretion and professionalism.
