Admin Support Assistant - Europe
Job Description
To provide administrative and operational support to the European team from Bogotá.
Must be detail-oriented, organized, and able to work in a fast-paced international environment.
Key Job Responsibilities Include, But Not Limited To
- Verify bookings made by the sales team and ensure data accuracy.
- Check and update student information in internal systems.
- Hold and manage room assignments in DBC.
- Record special requests or important details (e.g., allergies, accommodation requests) in Class for Operations.
- Send confirmation emails and invoices to customers.
- Update invoices (add/remove items) as required.
- Reconcile daily financial information after bank transfers/Flywire payments are received.
- Send updated invoices and payment confirmations to customers.
- Follow up and update flight details.
- Share host family information and departure guides with students.
- Maintain daily communication with the French team in Paris to ensure smooth processes.
Minimum Qualifications
- Bachelor's degree in Administration, Business, or related fields (or currently studying).
- Proficiency in English (B2 or above).
- Basic knowledge of French is a plus, but not required.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Basic knowledge of MS Office and willingness to learn internal systems.
- Excellent communication skills and a service-oriented mindset.
