As an
Admin and Executive Support Assistant
, you will provide seamless administrative and executive support across multiple time zones.

From managing calendars and communications to supporting strategic initiatives, you'll play a key role in ensuring leadership efficiency in the fast-paced blockchain industry.

Employment type: Indefinite term type contract

Shift: Monday to Friday, 08:00 AM - 05:00 PM (US West, Central, UK Time)

The Qualifications We Seek

  • Exceptional proactive communication skills and a can-do approach
  • 5 years of work experience
    with a
    background in executive and office administration
    across multiple time zones
  • Industry experience in
    Fintech
    ,
    Financial Services
    ,
    Banking
    , or
    Tech companies preferred
  • Excellent level of PowerPoint capabilities
    ; sound computer skills (
    Google Docs, Sheets, Slides
    ) with willingness to learn additional platforms
  • Familiarity with
    Salesforce
    or other
    CRM
    and
    Content Management Systems
  • Experience with note-taking in meetings
  • High attention to detail, excellent time management skills, and flexibility in response to changing priorities
  • Excellent oral and written English, with ability to communicate clearly and effectively with senior leaders and external partners
  • High level of independence, autonomy, confidentiality, and professionalism
  • Keen to learn and continuously improve; passion to work with people
  • Bachelor's degree required

Your Daily Tasks

  • Manage calendars, coordinate meetings, and handle logistics across multiple time zones
  • Prepare briefing materials, agendas, and presentations in advance of meetings
  • Organize and coordinate travel arrangements, including flights, accommodations, and itineraries
  • Draft, review, and manage executive communications (emails, memos, follow-ups)
  • Prepare and track expenses, reimbursements, and other administrative financial processes
  • Coordinate events, in-house activities, and off-site engagements
  • Interface with stakeholders and provide administrative support to leadership
  • Prepare presentation documents and reports for management and meetings
  • Support execution of strategic projects and initiatives as needed
  • Assist with onboarding logistics for new hires and contractors, including interview scheduling
  • Maintain and update internal documents, shared folders, and team resources
  • Support Operations team on ad hoc projects, documentation, and task management
  • Perform other administrative tasks as assigned
